Seller Quotation Best Practices for B2B RFQs

A quotation should make it easy for the buyer to understand exactly what is included and which assumptions affect price.

Quote the requested scope

  • Reference the RFQ/product specification.
  • State model, grade, material or variation being quoted.
  • Identify any deviations clearly.

Commercial terms

  • Price and ISO currency.
  • MOQ and quantity breaks.
  • Payment terms and quotation validity.
  • Production/dispatch lead time.
  • Incoterm or freight basis when relevant.

Reduce ambiguity

  • Separate optional charges such as tooling, samples or freight.
  • State taxes or duties only where you are responsible for them.
  • Avoid promising delivery dates you cannot support.
